About the role
Lead with Purpose, partner with Impact.
At Coghill Investment Strategies (www.coghillstrategies.com), our team is focused on delivering highly personalized wealth management solutions. We provide a concierge-style service model that includes collaborative work with our client's tax and legal advisors to deliver intelligent, centralized management of their total financial universe. Investment portfolios are managed based upon traditional investment theory enhanced with global macro analysis.
The Client Service Associate (CSA) plays a pivotal role in delivering a seamless, high‑touch experience across all stages of the wealth management process. In this role, you will coordinate operational and administrative workflows, support financial planning preparation, and act as a trusted liaison between clients, Financial Advisors, and internal operational teams.
This position is ideal for a detail‑oriented professional who values precision, enjoys client interaction, and is motivated to build or advance a long‑term career in wealth management, client service, or paraplanning.
What You'll Do
Serve as the primary connection point between Financial Advisors and internal Operations to ensure all client service needs are executed accurately and on time.
Translate advisor and client requests—including account openings, money movement, transfers, and updates—into clear, actionable steps for processing.
Prepare and gather client data needed for financial plans, reviews, cash‑flow updates, and investment discussions (e.g., statements, insurance docs, employer benefit info).
Support advisors in pre‑meeting preparation by organizing planning documents, updating CRM records, and ensuring all required materials are accurate and complete.
Assist in the implementation of investment or planning recommendations (e.g., updating allocations, initiating transfers, coordinating follow‑ups).
Collaborate with advisors to help prepare components of financial plans, such as data organization, initial analysis, and input into financial planning software (as appropriate for the role and licensing).
Review client information for completeness and accuracy to ensure advisors have the right data for planning meetings.
Track planning-related action items and ensure all recommendations—investment, insurance, cash‑flow, estate, tax-coordination items—are followed through to completion.
Assist in maintaining high-quality client documentation in alignment with planning and compliance standards.
Own the follow‑up process: monitor progress, communicate updates, and confirm final execution of all client-related tasks.
Partner with Operations to troubleshoot issues, resolve delays, and ensure the client experience remains smooth and proactive.
Communicate with clients warmly, clearly, and professionally to build trust and confidence.
Anticipate client needs by proactively checking on open items and ensuring nothing is missed.
Help maintain strong long-term relationships by contributing to a consistent, service‑focused client experience.
This is an in-office position in our Pittsburgh location.
What You Bring
You listen first, seek to understand client goals, and remain sensitive to their personal and family financial dynamics.
Learning about financial planning, investments, and the wealth management industry.
Follow through diligently and communicate proactively.
Adapt quickly in a fast‑moving environment where client needs evolve.
Collaborate closely with advisors and teammates to deliver exceptional client outcomes.
Strong organizational skills with a high degree of accuracy and reliability.
Excellent communication—professional, empathetic, and client‑focused.
Ability to manage multiple priorities in a deadline‑driven environment.
Interest in financial planning, wealth management operations, or paraplanning.
Prior experience in financial services, insurance, or investment operations is a plus.
