About the role
Compliance Specialist
Burns Logistics | Reports to: General Manager | Full-Time
Position Summary
Burns Logistics is creating a Compliance Specialist position. This role keeps our fleet paperwork complete, current, and audit-ready. It is an administrative, individual-contributor role. You will use Tenstreet and Samsara to manage driver qualification files, track expirations, monitor ELD data, and maintain the records DOT and FMCSA require. You will also handle the administrative side of truck maintenance: scheduling preventive maintenance, tracking repairs, and keeping maintenance records complete. This role does not manage safety programs, deliver safety training, or perform mechanical work. It owns the records and the follow-through. You do not need to know these systems or rules today. This job will teach them to you. Burns is a technology-forward company: we use AI tools across the business and build our own software in-house, and we expect this role to use them to work faster and more accurately.
Key Responsibilities
Driver Qualification Files (Tenstreet)
- Build and maintain a complete driver qualification file in Tenstreet for every driver
- Track expiration dates for CDLs, medical certificates, MVRs, and annual reviews, and follow up before anything lapses
- Order and document MVRs, PSP reports, and previous employer safety performance history checks
- Run and document FMCSA Drug & Alcohol Clearinghouse queries, both pre-employment and annual
- Complete and file new hire compliance paperwork
- Keep every file audit-ready at all times
Fleet Compliance (Samsara)
- Monitor ELD and hours-of-service data in Samsara; flag violations, unassigned driving, and missing logs to operations and management
- Collect, review, and file driver vehicle inspection reports (DVIRs) and annual inspection records
- Maintain vehicle records, including registrations, permits, and inspection documentation
- Build and run Samsara reports to track compliance status across the fleet
Truck Maintenance Administration
- Maintain a preventive maintenance schedule for every truck and trailer, and schedule service before it comes due
- Make sure defects reported on DVIRs are sent to the shop, repaired, and signed off before the unit goes back out
- Create and track work orders with the shop and outside vendors from request to completion
- Keep a complete maintenance file for each unit, including repair records, invoices, and service history, as DOT requires
- Track warranty coverage, recalls, and tire and parts records
- Coordinate downtime with operations so trucks are serviced without disrupting routes
- Report maintenance costs, overdue service, and repeat repairs to management
Drug & Alcohol Program Records
- Maintain drug and alcohol testing records in accordance with DOT requirements
- Coordinate scheduling for required tests and track results with our testing provider
Regulatory Filings & Audit Support
- Keep federal and state registrations current, including USDOT and MCS-150 updates
- Maintain the DOT accident register and collect and file documentation after accidents and incidents
- Track roadside inspection results and CSA scores, and report trends to management
- Pull and provide records for DOT audits, compliance reviews, and insurance requests
- Stay current on FMCSA record-keeping requirements and update filing processes as rules change
Reporting & Technology
- Prepare regular compliance reports for management covering expirations, open items, HOS violations, and overdue maintenance
- Use AI tools and Burns' proprietary software to automate tracking, reminders, and reporting
- Identify ways technology can reduce manual paperwork and improve compliance tracking
