About the role

JLL empowers you to shape a brighter way.

Our people at JLL are shaping the future of real estate for a better world by combining world class services, advisory and technology for our clients. We are committed to hiring the best, most talented people and empowering them to thrive, grow meaningful careers and to find a place where they belong.  Whether you’ve got deep experience in commercial real estate, skilled trades or technology, or you’re looking to apply your relevant experience to a new industry, join our team as we help shape a brighter way forward.

What this job involves:

As a Technical Facility Coordinator you'll serve as the operational backbone supporting mission-critical facility activities. In this key role, you'll bridge technical and administrative operations, performing data-gathering and analysis to ensure all site processes and best practices are implemented, tracked, and controlled effectively. You'll provide critical administrative support including report generation, inventory management, shift scheduling, and facilities coordination while ensuring health and safety workplace procedures are in place and followed. We're looking for a detail-oriented professional who combines strong organizational skills with process improvement thinking—someone who can identify opportunities to speed up service delivery, enhance service quality, and save costs.

What your day-to-day will look like:

  • Provide comprehensive administrative support as a key member of the Operations team, supporting facilities-related activities and ensuring seamless coordination between engineers, technicians, vendors, and client stakeholders
  • Perform data-gathering and analysis of information to ensure all site processes and best practices are being implemented, tracked, and controlled, while contributing suggestions on where processes can be improved to speed up service delivery, enhance service quality, and save costs
  • Provide admin support including report generation using Corrigo CMMS, inventory and stock taking management, shift scheduling coordination, site inductions for new personnel, and general facilities coordination activities
  • Ensure health and safety workplace procedures are in place and properly documented, working under supervision and guidance from the Safety Officer to implement and carry out these procedures as needed
  • Act as first line of defense against operational risks by implementing and managing risk management programs, disaster recovery plans, and business continuity procedures while following escalation and incident reporting protocols in compliance with firm guidelines
  • Interact with client staff and vendors to deliver efficient services, address conflicts and conflicting priorities effectively, and serve as an effective and resilient communicator who interfaces with customers during both business-as-usual and critical activities
  • Assist JLL and client leads with compliance reporting, monitoring and tracking of artifacts and legal statutory requirements, and support internal and external audit processes by maintaining accurate documentation and records

Required Qualifications:

  • Associate degree, diploma, or equivalent experience in Business Administration, Facilities Management, Engineering Technology, or related field
  • 2-3 years of experience in administrative support, facilities coordination, or operations roles preferably in commercial real estate, data centers, or mission-critical environments
  • Strong proficiency in report creation using MS Office suite (Excel, Word, PowerPoint, Outlook) with demonstrated ability to create professional presentations and data analysis reports
  • Excellent communication and information-gathering skills with ability to interact professionally with personnel at all organizational levels including engineers, clients, vendors, and executive leadership
  • Strong report consolidation and presentation skills with ability to synthesize complex operational data into clear, actionable insights
  • Experience with Computerized Maintenance Management Systems (CMMS) such as Corrigo, Maximo, or similar platforms for work order tracking and reporting
  • Basic understanding of facilities management practices and administrative processes supporting technical operations

Preferred Qualifications:

  • Demonstrated track record of timeliness, accuracy, and completeness in all administrative and reporting responsibilities
  • Excellent understanding of health and safety practices within the built environment including OSHA standards, emergency procedures, and workplace safety protocols
  • Strong attention to detail with process-oriented mindset and ability to identify inefficiencies and recommend practical improvements
  • Experience with inventory management systems, asset tracking, and procurement coordination for facilities operations
  • Familiarity with shift scheduling software and workforce management tools for 24/7 operational environments
  • Basic Occupational Safety and Health (BOSH) certification or willingness to obtain relevant safety training
