Purpose of the Role
The HRIS Specialist owns the day-to-day administration, reporting, and data integrity of Workday, ensuring people data is accurate, audit-ready, and useful for decision-making across People & Culture, Finance, and leadership. The role suits a Workday practitioner who is as comfortable configuring business processes and building calculated fields as advising stakeholders on how processes should evolve.
Key Responsibilities
Workday Administration & Operations
- Maintain Workday configuration across Core HCM and related modules, including business processes such as onboarding and offboarding, security roles, user access, and organizational structures.
- Handle HRIS requests and troubleshoot issues; run mass data loads (EIB) and maintain data flows with the PEO and other connected systems.
- Review Workday's semi-annual releases, test changes that affect the business, and roll out relevant features.
Reporting & Analytics
- Design, build, and maintain custom reports (Advanced, Matrix, Composite, Trending), calculated fields, dashboards, and scheduled reports.
- Deliver recurring and high-stakes reporting, such as headcount, turnover, compensation, and diversity metrics.
- Translate business questions into scalable, self-service reporting and maintain a current report inventory.
Data Integrity & Governance
- Run routine data quality audits and validation checks and resolve root causes rather than symptoms.
- Contribute to data governance standards, data definitions, and confidentiality and access controls.
- Optimize slow reports and complex calculated fields to maintain system performance.
Audit & Compliance Readiness
- Build and maintain audit reports supporting internal controls, including access reviews, change logs, and terminations.
- Partner with internal and external auditors to deliver accurate, consistent, and timely audit responses.
- Document configuration, processes, and controls so the system remains audit-ready at all times.
Process Improvement & System Roadmap
- Assess HR processes end to end and recommend automation, simplification, or new Workday functionality.
- Gather requirements, test, and support deployment of enhancements, module rollouts, and integrations.
- Serve as the Workday subject matter expert and run training and knowledge-transfer sessions to build data literacy and adoption.
Other
- Assist with other ongoing P&C projects as they relate to Workday
- All other duties are required.
Requirements
Experience & Background
- 4+ years of hands-on Workday experience spanning administration/configuration and reporting.
- Proven record of delivering high-stakes reporting (for P&C team, board, ESG, or cyclical reports) and supporting internal or external audits.
- Experience working in or closely with a People function, handling highly confidential employee data across the HR lifecycle.
- Experience with a Workday implementation or major module rollout is an asset.
Technical Knowledge
- Strong command of Core HCM, plus working knowledge of at least two of: Recruiting, Talent, Compensation, Benefits, Time/Absence, Payroll.
- Expert in calculated fields and Advanced, Matrix, Composite, and Trending reports; solid grasp of business process and security configuration.
- Experience with EIBs and data migration; exposure to integrations, Workday Studio, or XPATH is an asset.
- Advanced Excel (Power Query, pivot tables, lookups); experience with Prism, Tableau, Power BI, or similar is an asset.
Delivery & Competencies
- Translates ambiguous business needs into clear, scalable, well-documented solutions.
- Rigorous attention to detail and sound judgment with sensitive data.
- Communicates clearly with non-technical stakeholders and trains effectively.
- Manages multiple priorities independently.
- English proficiency required, as the company has employees and customers outside Quebec.
Educational Requirements
- Bachelor's degree in HR, Information Systems, Statistics, Data Science, or a related field, or an equivalent combination of training and experience.
- Workday Pro certification (HCM and/or Reporting) preferred.
