Work Location: Cebu Comprehensive Cleft Care Center of Excellence (COE), Cebu City, with travel to program sites across the Philippines

POSITION OVERVIEW

The Medical Education and Student Programs Coordinator helps Operation Smile Philippines train the local medical professionals who deliver safe, high-quality cleft care. The role coordinates the Foundation's education programs for surgeons, anesthesiologists, nurses, pediatricians, and biomedical technicians, along with its student programs, handling the orientations, schedules, logistics, evaluations, and records that keep each program running.

This is a coordination role that works across sites and teams. The Coordinator works closely with program leadership, the Cebu COE team, visiting clinical educators, partner hospitals, and academic institutions, and is suited to someone organized, dependable, and energized by helping others learn.

KEY RESPONSIBILITIES

Education Programs

• Coordinate orientations for trainees and clinical educators before each training program.
• Schedule training activities and pair trainees with clinical educators.
• Arrange program logistics, including training schedules, materials, venues, and travel and accommodation where needed.
• Enroll trainees in required courses and certifications, including American Heart Association (AHA) life support training, and track certification renewals for staff and volunteers.
• Serve as the main point of contact for trainees and educators before, during, and after each program.

Evaluations and Records

• Collect and track clinical educator evaluations after each training activity.
• Monitor each trainee's progress and flag those who are ready for review or need additional support.
• Maintain accurate, confidential training records and prepare regular progress reports.

Student Programs

• Coordinate student placements, including internships, fellowships, and volunteer learning placements.
• Serve as the point of contact for students and coordinate with partner schools and universities.
• Track student participation and outcomes and prepare regular reports.

Administrative Support

• Coordinate with surgical, nursing, and patient services teams so that training activities align with program schedules.
• Support budget tracking, expense documentation, and liquidation for assigned activities.

MINIMUM QUALIFICATIONS

• Bachelor's degree in Nursing, Public Health, Education, Health Sciences, or a related field.
• At least one (1) year of relevant experience in training coordination, medical education, student or volunteer program administration, or healthcare or NGO program support.
• Experience working in a hospital, NGO, or healthcare nonprofit setting preferred.
• Familiarity with clinical training or certification programs (e.g., BLS/PALS) is an advantage; a clinical background such as nursing is a plus.
• Proficient in MS Office Suite (Excel, Word, PowerPoint); strong written and verbal communication skills in English and Filipino.
• Ability to manage competing priorities across more than one team, and willingness to travel to program sites.
• Strong coordination and follow-through skills; comfortable operating both independently and under direction.
