This role is the “face” of our corporate headquarters located in Tysons Corner and makes all employees and guests feel welcome by ensuring clean working and social areas, well-stocked supplies, and making it easy for people to interact and be productive. This individual takes pride in the experience of both employees and visitors. Ability to positively interact with Executives, employees and external vendors and candidates is essential.
This position requires a presence in the office 5 days per week.
What You'll Do:
- Serve as the primary point of contact and highly visible “face” of the Tysons Corner headquarters, warmly welcoming employees, candidates, vendors, and guests; managing office badges and gym waivers; and responding proactively to day-to-day office needs.
- Take ownership of the daily office experience from start to finish, ensuring workspaces, kitchens, conference rooms, coffee and snack stations, and shared areas are clean, organized, fully stocked, and ready for employees and visitors.
- Manage inventory and ordering office, kitchen, meeting, and event supplies while maintaining organized supply closets, cabinets, and storage areas.
- Manage office space configurations, equipment, and technology needs; partner with IT and building management to resolve issues quickly and maintain high standards across the office.
- Coordinate conference rooms and provide end-to-end support for leadership meetings, including room setup, technology testing, supplies, catering, on-site troubleshooting, and before- or after-hours coverage as needed.
- Plan and support bi-weekly office lunches, local off-site meetings, charitable initiatives, celebrations, employee gifts, and other office engagement activities.
- Build collaborative relationships with other Office Coordinators, and Executive Assistants across offices to share information, coordinate firmwide activities, provide backup coverage, and create a consistent employee and guest experience.
- Manage building and vendor relationships and contracts, including parking, Datawatch badge management, and other office service providers.
- Maintain office policies and resources, including the Company Contact List, Emergency Response Plan, and Employee Office Expectations, and partner with office leadership and the Business Manager to support compliance.
- Support one to two executives and the DC Managing Partner as needed, including scheduling and meeting logistics, catering, supplies, room coordination, and timely and accurate Partner expense reports as assigned.
- Ensure Tysons office new hires are included in firmwide Town Halls and support other firmwide and Organizational Development needs as requested.
- Own ad hoc operational projects and tasks, including record keeping, material preparation and printing for training, gift ordering, and other evolving headquarters needs that may fall outside the standard job description.
- Frequently walk, stand, kneel, reach, squat, stoop or bend, and lift and carry objects up to 30 lbs.
- Work onsite Monday through Friday, 9:00 a.m. to 5:00 p.m., with flexibility to support before- or after-hours meetings and events.
