Our people at JLL are shaping the future of real estate for a better world by combining world class services, advisory and technology for our clients. We are committed to hiring the best, most talented people and empowering them to thrive, grow meaningful careers and to find a place where they belong. Whether you’ve got deep experience in commercial real estate, skilled trades or technology, or you’re looking to apply your relevant experience to a new industry, join our team as we help shape a brighter way forward.
About the role
We’re looking for an experienced, personable and highly organised Receptionist to help curate an exceptional workplace experience.
Employed by JLL and working closely with the client’s Dublin Workplace team, you’ll help shape the ambience and everyday running of the office. From a thoughtful welcome to well-prepared spaces, your work will help people feel comfortable, supported and looked after.
You understand that reception sets the tone for how employees, visitors and vendors experience the workplace. A warm welcome, a thoughtful gesture or practical help at the right moment can brighten someone’s day and leave a lasting impression. You take real satisfaction in helping people, bringing moments of joy to everyday interactions and making their day easier. That care extends to every service you’re responsible for.
You’ll take ownership of reception and mail operations while contributing across workplace services, employee experience and ad hoc office projects. This role offers variety, responsibility and opportunities to broaden your knowledge of the workplace profession.
You’ll bring proven experience, diligence and sound judgement. You enjoy a fast pace of work, adapt confidently when priorities change and remain composed when challenges arise. You take pride in getting the details right and following through on what you say you’ll do.
What you’ll do
- Deliver a thoughtful welcome. Create a warm, professional experience for employees, visitors, vendors, candidates and contractors. Manage visitor and vendor registration, sign-in and sign-out, passes and arrival arrangements in line with site security procedures.
- Curate the workplace experience and ambience. Pay attention to how reception looks, feels and functions. Carry out regular walkthroughs, keep reception and shared spaces welcoming and well presented, and coordinate action when something needs attention.
- Coordinate everyday workplace needs. Respond to employee questions and service requests, support meeting-room bookings, monitor supplies and help keep spaces ready for use. Track outstanding requests, communicate updates and follow through to resolution.
- Help new colleagues settle in. Support workplace welcomes, office tours and practical introductions, helping new joiners understand the office and feel comfortable from the start.
- Bring events and hospitality to life. Help coordinate employee activities, team gatherings and visiting groups.
- Build effective working relationships. Liaise with internal and external partners, suppliers and teams such as IT and Security. Help coordinate services, resolve practical issues and maintain clear communication.
- Own mail and delivery operations. Receive, sort and distribute incoming post and parcels; arrange outgoing mail and couriers; maintain delivery, collection and tracking records; and replenish packaging and postage supplies. Keep the mail room organised and secure, escalating suspicious or damaged deliveries promptly.
- Support workplace projects and improvements. Contribute to ad hoc workplace project requests. Help with preparation, coordination and follow-up, and suggest practical ways to make everyday processes work better.
- Support a safe and secure environment. Follow site procedures, identify and raise concerns, and assist with health, safety and emergency preparedness activities under the guidance of the relevant teams.
What you’ll bring
- Proven relevant experience. A demonstrated background in reception, workplace coordination, hospitality or a comparable busy service environment, with experience managing competing requests and delivering a consistently high standard of service.
- Diligence and attention to detail. You work carefully, maintain accurate records and take responsibility for completing tasks. Your standards remain consistent when the pace picks up.
- Energy for a fast-paced workplace. You enjoy an active, varied working day and can assess priorities, respond promptly and keep work moving.
- Adaptability. You adjust quickly to changing plans, learn new processes and move confidently between different responsibilities.
- Resilience and sound judgement. You stay calm when problems arise, respond constructively and know when to take action, seek support or escalate.
- An instinct for hospitality. You notice how service, presentation and ambience affect people’s experience. You anticipate needs, enjoy helping others and look for thoughtful ways to make their day better.
- Clear communication and discretion. You build trusted relationships, keep people informed and handle sensitive information professionally.
- Confidence with technology. You’re comfortable using digital tools to organise work and have the ability to learn visitor management, room booking and workplace request systems.
Opportunities to develop and make the role your own
You’ll bring the experience and confidence to own your core responsibilities, alongside the curiosity to deepen your workplace knowledge. Working with the Dublin Workplace team, you’ll gain hands-on exposure to facilities coordination, employee experience, events, supplier relationships and workplace projects. As opportunities arise, you may also support purchasing and order coordination, service reviews and office improvement initiatives, building on your existing skills while contributing to the wider team.
You’ll have the trust, support and autonomy to use your judgement, bring your personality to the role and put thoughtful ideas into practice. We want you to make this role your own: building relationships, anticipating people’s needs and creating a reception experience that people remember for its warmth, care and personal touches.
This is a full-time, on-site role in Dublin, Monday to Friday, working the early shift, 7:30am to 4:00pm. The early shift leads the opening walkthrough and reception set-up, morning post and deliveries, and first arrivals.
