Job Summary:
We're looking for an analytical, tech-savvy Sales Operations Specialist to help build and improve the systems, processes, and reporting that support our sales team. Combining elements of CRM administration, business analytics, and project coordination, this role offers the opportunity to take ownership of meaningful projects and make a direct impact on how our team operates. You'll manage our CRM system, develop dashboards and reporting tools, coordinate customer bids, and lead initiatives that improve efficiency across departments.
You don't need a background in sales to succeed here. We're looking for a curious, self-motivated problem-solver who enjoys digging into data, asking questions, identifying opportunities others may overlook, and taking the initiative to turn ideas into solutions.
Key Responsibilities:
- CRM Administration & Process Improvement
- Serve as the primary administrator for our CRM system (Spiro), managing system configurations, data accuracy, functionality, and ongoing improvements.
- Partner with internal IT teams and software vendors to troubleshoot issues, manage updates, and implement system enhancements.
- Evaluate and improve sales workflows, developing scalable processes, standard operating procedures (SOPs), and resources that support consistency and efficiency.
- Develop training materials and provide ongoing system training and technical support to help team members effectively use available tools.
- Sales Analytics & Reporting
- Develop and maintain sales dashboards, performance reports, and key performance indicators (KPIs) using Excel, Spiro CRM, EDA, and other reporting tools.
- Analyze sales and operational data, independently investigating discrepancies, identifying trends, and uncovering opportunities to improve performance and
- processes.
- Collaborate with sales leaders to identify reporting needs, improve data visibility, and standardize recurring reports and scorecards.
- Support sales operations activities, including ERP account updates in Prophet 21, quarterly delivery route reviews, and department resources.
- Bid Coordination & Project Management
- Coordinate customer bids, requests for proposals (RFPs), and requests for information (RFIs), managing timelines, documentation, and cross-functional
- communication to support accurate, timely responses.
- Partner with Sales, Product Management, Pricing, and other departments to gather information, organize bid materials, and streamline the response process.
- Track bid activity and outcomes, identify trends, and recommend improvements to strengthen future processes.
- Independently lead cross-functional sales operations projects, using tools such as ClickUp to manage timelines, deliverables, and stakeholder communication.
- Proactively identify opportunities to leverage technology, improve workflows, and develop practical solutions without relying on assigned projects or predefined direction.
- Present project updates, analytical findings, and recommendations to leadership and other stakeholders.
