Job Description
The Senior Specialist, Systems Training coordinates and executes training initiatives that support Tricon’s essential business systems, technology changes, and Project Management Office (PMO) implementations. Working closely with Information Technology (IT), system and business subject matter experts (SMEs), PMO teams, Operations, Vendors, and Talent Development, the Senior Specialist identifies training needs and translates system capabilities, workflows, implementation milestones, and business requirements into coordinated training and adoption plans. The Senior Specialist guides training programs from discovery and scoping through design and development coordination, deployment, reinforcement, measurement, and content maintenance. They are accountable for training program readiness, alignment, and delivery coordination rather than serving as the technical system expert or primary developer of every learning asset. Depending on project needs, they may also develop practical materials or assets, while partnering with SMEs and Talent Development for specialized content, instructional design, and delivery.
The role also supports Operations process training, including new or revised procedures and workflows, using the same SME-led and Talent Development partnership model. Specific systems and initiatives will evolve with business priorities; success requires transferable learning-program management, stakeholder partnership, and change adoption skills rather than expertise in one designated platform.
Essential Duties and Responsibilities include the following but are not limited to the job specifications contained herein. Additional duties or job functions that can be performed safely may be required as deemed necessary by supervisory personnel.
- Systems training needs assessment: Partner with IT, system SMEs, business leaders, vendors, and end users to identify impacted audiences, role-based workflows, proficiency gaps, and appropriate learning interventions for essential business systems.
- Training program strategy and planning: Build scalable, practical training plans defining scope, learning objectives, audiences, formats, roles, development requirements, communications dependencies, timelines, and reinforcement for priority system changes and launches.
- PMO implementation partnership: Participate in project planning and implementation workstreams; align training design, testing, SME approvals, delivery, and learner readiness with milestones, pilot phases, and go-live dates for priority systems, surfacing dependencies and risks early.
- Cross-functional coordination: Serve as the coordinating point between IT, PMO, functional/Operations SMEs, Talent Development, business sponsors, vendors, and delivery resources; clarify decisions, responsibilities, content inputs, and sign-off requirements.
- Instructional design and development coordination: Translate SME knowledge and technical workflows into learning requirements and development briefs. Partner with Talent Development on instructional design, reusable learning assets, and learning standards; organize SME reviews and quality assurance. Personally create simple job aids, decks, or quick-reference materials when appropriate.
- Training delivery and deployment: Determine effective modalities such as instructor-led sessions, virtual demos, self-paced learning, practice environments, peer support, and job aids. Coordinate vendor facilitators, SMEs, schedules, learner communications, materials, and readiness for launch; manage facilitated sessions as business needs warrant.
- Operations systems process training: Manage assigned training needs for new or changing Operations procedures, SOPs, and business workflows with systems impact. Collaborate with Operations SMEs to validate process content and with Talent Development to design and deliver appropriate learning solutions.
- Program and portfolio management: Manage concurrent training initiatives from intake and prioritization through workplans, status reporting, stakeholder approvals, resource coordination, delivery, reinforcement, and closeout. Balance timelines, capacity, business impact, and competing priorities.
- Change adoption and reinforcement: Coordinate with project and business leaders to explain workflow changes, anticipate barriers, collect user feedback, support post-launch reinforcement, and adjust learning solutions to improve application on the job.
- Content lifecycle and governance: Establish review and update cycles with designated SMEs; coordinate version control, content accuracy, publishing, and retirement of obsolete system and Operations process learning materials.
- Training effectiveness: Define measures appropriate to each initiative, including readiness, participation, knowledge or task proficiency, learner confidence, help requests, system adoption, and stakeholder feedback. Share findings and recommend improvements.
- Vendor and resource coordination: Coordinate training-related vendor deliverables and external specialists when needed, ensuring materials and schedules align with business requirements, project milestones, and Tricon learning standards.
Qualifications:
- Training program management: Demonstrated ability to scope, organize, and deliver cross-functional training programs with multiple stakeholders, dependencies, and deadlines.
- Systems and process fluency: Comfort learning new enterprise applications, understanding business workflows, and translating technical concepts into role-relevant training requirements without needing to be the system administrator or technical owner.
- Stakeholder partnership: Strong facilitation of discovery and planning conversations with IT, PMO, SMEs, Operations, and Talent Development; ability to influence and build alignment without direct authority.
- Learning solution judgment: Working knowledge of adult learning principles, training design, delivery methods, performance support, and when to engage instructional design specialists.
- Execution and communication: Clear written and verbal communication, sound prioritization, strong organization, adaptability, and the ability to communicate status, risks, and decisions.
- Tools: Proficiency with Microsoft Office, collaborative project-management tools, LMS or learning platforms, and familiarity with training development tools such as Articulate 360, Camtasia, Canva, and AI-enabled tools.
Minimum Requirements:
- Bachelor’s degree in Human Resources, Business Administration, Education, Organizational Development, Information Technology, Communications, or equivalent work experience.
- At least 5 years of related experience in training program management, systems/technical training, instructional design, learning and development, or implementation training.
- Experience coordinating training for business applications, technology rollouts, operational workflows, process changes, or cross-functional projects.
- Experience collaborating with SMEs and managing competing deliverables, reviews, and stakeholder dependencies.
- Experience planning or supporting learning delivery for audiences with different roles and levels of technical experience.
Preferred Attributes:
- Experience with PMO-led implementations, enterprise system deployments, change management, or user-adoption initiatives.
- Experience in property management, Operations, field environments, or distributed workforces.
- Experience coordinating instructional designers, facilitators, technical SMEs, vendors, or external learning partners.
- Knowledge of enterprise learning systems and approaches to measuring training effectiveness.
- Certification or coursework in project/program management, adult learning, instructional design, technical training, or change management.
Physical Demands:

- Sitting/standing/movement: This role primarily involves seated work and computer use, with periodic standing and walking throughout the workday.
- Communication: Must be able to communicate effectively with coworkers, residents/clients, and vendors and to receive and convey information in a timely manner.
- Hand/arm use and upper-body activity: Regular use of hands and fingers for tasks such as keyboarding, operating office equipment, handling materials, and reaching for items.
- Posture and positioning: Occasionally require bending/stooping, kneeling, or crouching to access files, materials, or equipment.
- Lifting/carrying: Occasionally lift and/or move items up to 10 pounds.
- Vision: Must be able to perform work requiring close vision, distance vision, and depth perception, such as reading screens/documents and navigating the work environment.
