About the role
Drive Seamless Customer Orders as a Sales Order Management
Are you ready for the next step in your career? We are looking for a Sales Coordinator who enjoys keeping complex customer orders moving smoothly from enquiry to delivery. In this role, you will be at the center of daily customer interactions, order management, and cross-functional coordination, ensuring customers receive accurate information and timely delivery updates. You will work independently, take ownership of order-related activities, and collaborate closely with Sales, Operations, Production, Planning, Procurement, Engineering, Dispatch, and Logistics teams. Your work will have a direct impact on customer satisfaction, on-time delivery performance, and the overall efficiency of the order fulfillment process.
Your responsibilities
- Review customer purchase orders (POs) against quotations, contracts, and technical specifications, and accurately enter orders into the ERP system.
- Validate commercial and technical order requirements and coordinate with Sales, Application Engineering, Customers, and other stakeholders to resolve discrepancies before order entry.
- Prepare and issue Order Acknowledgements (OA), Proforma Invoices (PFI), and other required order-related documentation in a timely manner.
- Manage and monitor the complete order lifecycle, from order entry to invoicing and shipment, ensuring visibility and control across the supply chain.
- Serve as the primary point of contact for customers regarding order status, delivery commitments, documentation, and order-related inquiries.
- Collaborate closely with Production, Planning, Procurement, Engineering, Quality, Dispatch, and Logistics teams to ensure seamless order execution and on-time delivery.
- Track manufacturing and procurement schedules, proactively identify risks, and communicate status updates, revised commitments, and rescheduled Order Acknowledgements when required.
- Prepare and distribute periodic Order Status Reports to customers, sales teams, and management.
- Manage customer issues related to order changes, returns, short shipments, incorrect deliveries, warranty claims, and escalations, ensuring timely resolution.
- Maintain accurate order records, customer communications, and transaction history to ensure traceability, compliance, and audit readiness.
- Monitor critical KPIs such as On-Time Delivery (OTD), order backlog, lead time adherence, and customer response times, initiating corrective actions when needed.
- Prioritize urgent, critical, project-based, and shutdown orders in line with business priorities and escalation procedures.
- Coordinate customer visits, delivery expediting activities, inspections, and Factory Acceptance Tests (FAT) to support customer satisfaction and successful project execution.
- Support continuous improvement initiatives within Order Management processes, systems, and cross-functional workflows.
- Utilize ERP and CRM systems effectively to maintain data accuracy and support efficient order processing and reporting.
Expectations from you
- 4-6 years of experience in Application Engineering, Customer Service, Supply Chain, or Sales Operations within the industrial manufacturing sector.
- Strong understanding of industrial valves, order execution processes, and customer order management.
- Minimum 2-3 years of hands-on experience with Salesforce, CPQ, and ERP systems (M3 preferred) or equivalent ERP platforms.
- Working knowledge of order processing, invoicing, dispatch coordination, export documentation, and supply chain processes.
- Experience with Order Acknowledgements (OA), Proforma Invoices (PFI), and customer documentation management.
To succeed in this role
To succeed in this role, you will need strong experience in order management, ERP systems, and customer coordination. You should be comfortable managing multiple priorities while maintaining accuracy, responsiveness, and visibility across the order lifecycle. Success comes from building effective relationships across functions, proactively communicating with customers, and keeping orders moving efficiently from entry through delivery. You will also need the ability to identify issues early, take corrective actions, and contribute to continuous improvement of sales coordination processes.
