About the Role
As a Volunteer Administrator with Aquarius, you will play an important role in supporting the smooth day-to-day running of our services. You will provide valuable administrative support to staff, helping to create an organised, welcoming and supportive environment for colleagues, volunteers and people accessing our services.
Working alongside the team, you will assist with a range of administrative tasks, including answering telephone calls, managing appointments, preparing resources and maintaining accurate records. You will also help ensure that enquiries are handled appropriately and that confidentiality is maintained at all times.
This is a rewarding volunteering opportunity for someone who wants to make a positive difference, develop new skills and contribute to a service supporting adults and families affected by alcohol, drugs and related challenges. Full induction, training and ongoing support will be provided.
Key Duties
- Answer telephone calls, take messages and direct enquiries to the appropriate person.
- Book, amend and cancel appointments as required.
- Prepare, print and assemble assessment packs, information packs and other resources.
- Support filing, record keeping and data entry, ensuring confidentiality and compliance with GDPR requirements.
- Take notes and minutes during meetings when required.
- Assist with printing, laminating and preparing materials for the service.
- Welcome visitors and people accessing the service, helping to create a friendly and approachable environment.
- Help organise and maintain office resources.
- Assist with routine administrative tasks and health and safety checks.
- Work alongside staff to support the effective day-to-day running of the service.
About You
We are looking for a friendly, reliable and understanding individual who is passionate about helping others and wants to contribute positively to our service. You will be comfortable communicating with a range of people in a non-judgemental and respectful way, recognising the importance of confidentiality, appropriate boundaries and valuing diversity.
You will be willing to learn, follow guidance and ask for support whenever needed, while also using your own initiative where appropriate. You should have a good level of self-awareness and be committed to treating everyone with dignity and respect.
You do not need to have previous experience in a similar role, as training and support will be provided. Lived experience of substance misuse, gambling-related challenges or supporting a family member affected by these issues would be welcomed, but is not essential.
We ask for a minimum commitment of four hours, with consistency being important to help us provide reliable support to the service.
