Working closely with firm leadership, internal operations and technology teams, landlords, architects, contractors, and vendors, you will serve as the central point of coordination to ensure projects are delivered on time, on budget, and with minimal disruption to employees and business operations.
The position requires strong organization, cross-functional coordination, communication, and follow-through, along with the ability to manage multiple project partners, dependencies, budgets, and deadlines. You will also be expected to work outside of normal business hours when needed to support construction milestones, installations, and office moves. Travel to multiple offices, including neighbor-island locations, may be required in connection with project activities.
Specific Responsibilities
Office Build-Out & Move Project Leadership
• Lead office build-outs, renovations, relocations, expansions, consolidations, and decommissions from initial planning through move-in and post-project closeout.
• Develop and maintain detailed project plans, schedules, milestones, budgets, dependencies, and task assignments for each project.
• Coordinate site assessments, space planning, design reviews, permitting, construction, furniture installation, technology readiness, and move logistics.
• Track progress against plan, anticipate delays or roadblocks, and make adjustments to keep commitments on schedule.
• Facilitate recurring project meetings, document decisions and action items, and drive follow-through to completion.
• Manage project budgets, change orders, and resources, escalating risks and issues to firm leadership as appropriate.
Facilities, Design & Vendor Coordination
• Coordinate office layouts and space plans that support operational needs, employee experience, accessibility, security, and future growth.
• Serve as the primary day-to-day liaison with landlords, property managers, architects, contractors, movers, furniture dealers, and other vendors.
• Manage procurement, delivery, and installation timelines for furniture, fixtures, equipment, signage, and workplace supplies.
• Conduct project walkthroughs, maintain punch lists, coordinate issue resolution, and confirm readiness before occupancy.
• Oversee logistics for projects across the firm’s locations, including neighbor-island offices.
Technology, Equipment & Move Readiness
• Partner with IT and external technology providers to coordinate network, internet, phones, audiovisual systems, printers, access control, and workstation readiness.
• Develop move plans and sequencing for employees, files, records, furniture, technology, and equipment.
• Coordinate testing, cutover, and contingency planning to minimize downtime and support continuity of operations.
• Maintain working familiarity with relevant workplace technologies such as Microsoft 365, virtual desktops, conferencing systems, and other firm applications.
Employee Communication & Change Coordination
• Develop and coordinate clear employee communications regarding project timelines, workspace impacts, packing instructions, move schedules, and reopening expectations.
• Partner with department leaders to understand operational requirements and plan temporary work arrangements when needed.
• Serve as a responsive point of contact for project questions and help employees transition smoothly into updated workspaces.
Project Closeout & Operational Continuity
• Coordinate occupancy and transition activities to maintain business continuity and minimize disruption to employees and clients.
• Complete project closeout activities, including punch-list resolution, vendor reconciliation, documentation, lessons learned, and turnover to ongoing facilities support.
Stakeholder Communication & Reporting
• Serve as the central liaison across firm leadership, department leaders, IT, HR, facilities partners, property management, contractors, and vendors.
• Provide regular status updates and reporting on project health, budget, risks, decisions, and milestones.
• Maintain clear, organized documentation of project plans, contracts, decisions, changes, and outcomes.
